Groups

A group is a selection of users who follow an exercise, course, training or education together.

Bringing individual users together in a group makes it easy to distribute drills or tests within the group, to set challenges, and to monitor the group's progress.

Users can participate in multiple groups at the same time. The same drill, story or course can be placed in multiple groups.

Dashboard
Here you will find an overview of the measured activity within a group. The time span of the measured activity within the group can be adjusted in the view by choosing one of the three options:

Content
Here is all content that is in the group and to which all members in this group have access. This content can consist of drills, stories, and courses. To add new content to the group, click on the '+' sign and fill in the name of the drill.

Please note that the content you want to add must already be in 'My content' and must be released.

To remove content from the group, click on the 3 dots next to the test name and click on 'Disconnect'.
Tests
Here all tests  that are in this group of members are displayed. To add a new test to the group, click on the 'add' button. Then this screen appears: Add test to group.png 

Fill in the test name, note that you must be coauthor of the test in order to add the test to the group.

You can;
- notify group members that a test is available for them,
- set a number of attempt per user,
- define a challenge (set review date), and
- set time restriction.

The announcements and reminders can be sent by email or push notification in the app (or both).

With the default settings, groupmembers can take the test as often as they want. By filling in a number at the 'Limit test attempt per user' you resticted the attempts for all members.

You also have the option of setting a time restriction on the test so that the test becomes available only within a certain timeframe to the user.

It is possible to adjust the number of attempts and time restriction at a later time, both for all participants and for an individual in the group. Go to the group tab 'tests' and click on the test.

Here you can also adjust the number of attempts at the test level or individual level. To customize by individual member, click on the user's name in this overview.
test window and attempt.png It is possible to set date and time for tests under 'No time restriction' (1). In case a user missed the tests on the set date and time, a new date and time can be set for this individual user (2).
Think of exams, the teacher can set the time window for when the test is available to the students. This same teacher can then set a new time window individually for students who have to retake the exam.

NOTE! The time zone of the manager who is setting the date and time on the test will be recalculated to the time zone of the users. For example when the users are in three different time zones, the test will be open at the same moment for all users. 

To remove a test from the group, click on the 3 dots next to the test name and click on 'Disconnect'.

Challenges

Here we find the challenges set by the administrator that relates to the group. A challenge can be added to the group by clicking on the 'add' button:

Members
Add members by clicking on the 'add' button in the group 'Members' tab:

It is possible to add members per individual or in 'bulk' to a group. The same applies for removing them. Here you can read how.
Group Settings
Communication:
Under 'Settings→Communication' you set whether new members of the group will receive emails or app notifications when content is added or removed as well as when the member is added or removed.

When the 'Membership' email option is checked for new members of the group, they will receive a welcome email + push notification stating that they have now become a member of the group and that the content is now accessible to them.

When the 'Membership' email option is checked for removed members of the group, they will receive a removed from group email + push notification stating that they have been removed from the group and that the content is no longer accessible to them.

When the 'New content' option is checked, the members will receive a notification every time new content is added to the group or to a course in the group.

When the 'Deleted Content' option is checked, members will receive a notification each time content is removed from the group or from a course in the group.

A combination of these options is possible and it is also possible to adjust these options at a later time.

Management:

Here you can find the administrator(s) of that group. This is also where you can add new administrators and remove them (if you have this permission). Adding an administrator is done by clicking on the '+' sign.

Fill in the name of the person you want to add and then assign 'access' or 'admin' permissions. Someone with view rights can see all the details within the group but cannot change anything else. An individual with managet rights can also make changes.

Group reports  Acces codes Test results
Request group reports
Here you’ll find the reports that can be requested for all members within the group. For example, reports that show the level of control of the members, time spent per drill and per member, but also the test results. Here you will find a complete overview of the different types of reports and what information they provide
SCORM
It is possible to generate a scorm package. Click on the options menu next to 'view results' and select 'generate scorm package' and 'download'. It may take a while before the download starts.
